Personal details processed by us
Micpoint B.V. processes your personal details because you make use of our services and/or because you provide them yourself. They include the following:
- First and last name
- Address
- Telephone number
- E-mail address
- IP-address
- Location details
Special and/or sensitive personal details
Our website and services do not intend to collect details from website visitors under the age of 16, unless they have explicit permission from a parent or guardian. However, we cannot verify whether a visitor is older than 16 years. We therefore advise parents to keep an eye on their child’s online activities, to prevent the collection of personal details of the child without the parent’s permission. Our purposes and basis for processing personal details
Micpoint processes your personal details for the following purposes:
- Mileage registration
- Follow up on emergency reports
- Contacting you by phone or e-mail whenever this is required, to ensure our services are carried out well
- Sending our newsletter and/or advertising brochure
- Informing you about changes in our services and products
Automated decision-making
Micpoint B.V. does not make decisions based on automated processing which could have (serious) consequences for persons. This involves decisions made by computer software programmes or systems without any human interference (for example an employee from Micpoint B.V.). Micpoint B.V. uses the following computer programmes or - systems: MyFMS for registering the mileage of an individual user from an organisation who is authorized to log in with his or her e-mail address.
How long are personal details kept?
Micpoint B.V. does not keep your personal details any longer than necessary to realise the purposes for which they are gathered. We apply the following retention periods for personal details in the following categories:
Name and address, e-mail address and telephone number for Veguard customers
Retention period with a maximum of 2 years after the subscription has ended.
First and last name are necessary to identify a user in the system and to provide reports with the correct owner details.
Retention period with a maximum of 2 years after the subscription has ended.
Address is optional and not mandatory. Only if the organisation wants to make use of Time Management, the address is used to determine whether a ride is characterised as commuter traffic.
Retention period with a maximum of 2 years after the subscription has ended.
A telephone number is optional and not mandatory, only used for the convenience of the organisation’s administrator to find out the telephone number of the user (employee).
Retention period with a maximum of 2 years after the subscription has ended.
An e-mail address is necessary to be able to log in on the platform and to verify the user.
Retention period with a maximum of 2 years after the agreement has ended.
The IP-address is stored for security measures used for IP White listing and to identify whether a user is logging in to an account on different devices.
Retention period not longer than 6 months.
Location data is necessary to be able to determine a route using coordinates and to show the user’s whereabouts.
The route data is kept for a maximum of 7 years, which is the retention period required by law for fiscal rides.
Analytical data is gathered by Google. We store this data for website analysis for a maximum of 26 months.
Sharing of personal details with third parties
Micpoint B.V. only shares details with third parties when this is necessary to fulfil our agreement with you, or to meet a legal requirement.
Cookies or comparable technologies we use
Micpoint B.V. only uses technical, functional and analytical cookies which do not breach your privacy. A cookie is a small text file that is stored on your computer, tablet or smartphone during the first visit to our website. The cookies we use are necessary for the website’s technical operation and user-friendliness. They allow the website to function properly and to remember your preferences, for instance. They also allow us to optimize our website. You can refuse cookies by configuring your internet browser as such that it no longer stores cookies. You can also remove all stored information through your browser settings.
View, change or remove details
You are entitled to view, change or remove personal details. This is done through the personal settings of your account. You also have the right to withdraw your approval of processing details or to object against the processing of your details by our company. You are also entitled to have data transferred. This means that you can request us to send the personal details, kept by us in a data file, to yourself or any organisation you mention.
